Case Study: Clean-up and improvement of complex MS Excel work sheet Situation:When was the last time you analysed your Excel data fully? Quite often, Excel workbooks exist for a couple of years with a number of people working with them. Everyone adds functionality as needed until the whole workbook starts to get fuzzy with some formulas not working as they used to do. Especially when your business relies on analytics form Excel, it is essential to ensure your data is concise, consistent and bullet-proof. A client realised the need for an un-biased, fresh perspective and contracted me to audit and clean his existing Excel workbook. Challenge: The workbook consisted of ten different sheets connected through formulas and lookups. Included were some very sophisticated mathematical formulas to analyse, calculate and visualise the data to ultimately provide a perfect result for my client. At the same time the whole workbook needed some additional functionality to allow for an extended analysis of the data. Service: The client gave me a quick intro into the workbook, explained what each sheet should do and what the overall objective of this Excel workbook was. It took me a couple of hours to clean up the formulas, links and layout as well as check the accuracy of the whole set up. Then, I added some more functionality either through a new view on the existing data or through clever macros helping to make tedious tasks easier. While working with this Excel workbook, I discovered one particular formula that didn't make sense to me. The client's explanation still left me with some questions so I evaluated the given formula by using extreme examples to prove and validate. This highlighted that despite calculating correctly in itself, the formula was mathematically not the right one to use for the message my client wanted to convey to his customers. I evaluated the different scenarios and came up with a formula that is much more precise and to the point. Result: My client was not only totally happy with the cleaned up and consistent workbook but also immensely appreciative for my extra efforts and the added value I created for his company. Inserting the new formula into the existing worksheet immediately showed an improvement in the results as well as the presentation of the data. The small improvements really changed a lot for my client and more so for his customers. Once again, this project proved to me the importance of completely understanding my client's needs, questioning the status quo and providing my expert advice to evaluate what others take as given. |
