2. Get ahead of Outlook with Rules
According to our survey over 70% of our readers are using Outlook - and we've found that setting up rules is often forgotten

Outlook has developed a set of Rules to help you work smarter. Instead of always going throgh the process of manually moving messages into different folders, you should actually automate the entire course of action.

This is actually one of my favourites, because with these rules you really gain a lot of time. And to quote one of our clients “Jurgen, this tip has revolutionised my inbox".

Many people react against following Rules because we hate being told what to Do! But this is different because this time, we are telling the computer what to do. Look, to be dramatic about it – if you don’t use rules you are literally lost in Outlookland.

Using rules will help you avoid email overload and an Inbox bursting at the seams with ‘Unread Message’ next to it. A rule is really just the direction you want your email to go. It by-passes the Inbox and arrives straight into a folder with the person or projects name on it.

Just after the 2nd or 3rd email from a new contact, you simply make a right click on the actual message, and chose “create rule”. Click here to find out more.




3. Shortcuts of the month
Do you want to learn more and increase your productivity by up to 30%?

For this month we want to concentrate on two very useful general keyboard shortcuts - they are working in literally every windows-program.

Ctrl + F Opens the Find-dialog box.
This works not only in nearly every windows-program, but also on a webpage or in your email-system.
Ctrl + P Opens the print dialog box.
This works not only in nearly every windows-program, but also on a webpage or in your email-system.
E.g. you want to print only a part of a website you are visiting do the following:
1st - select the text or picture you want to print
2nd - press Ctrl+P (instead of clicking on the Print-Icon)
3rd - click on [Selection] and [OK] - done!


Please try these out – we know how powerful these simple tricks are, because they can save you valuable time – each day. Have fun with it – it’s easy!

You might as well print these shortcuts and keep them close to your keyboard to learn one shortcut at a time. It is worth the effort.

4. Backup and the lost folder
Timo, as you know we are encouraging you to do your backup online and automated.
This is another story, where someone didn't follow our advise.


Recently we received an email from one of our clients with the question "Can you find us back a lost folder in Outlook?"

We thought the reason would be simply an accidentally moved folder - which could be found back sitting underneath another folder in the inbox. So we asked our client to do an "advanced find" and look for a particular message which should be in that lost folder.

As it turned out the folder was nowhere to find - so someone must have accidentally deleted it.

Guess what my next question was...

"Where is your backup from yesterday?" - There was none! The last backup was two or three weeks old.

No chance to get the lost folder back!

You see Timo it does not have to be a stolen, lost or burned computer that stops you in your tracks. A simple thing as a deleted extremely important email might make it necessary to go back to the data from the day before.

5. Find your Outlook-Data-File
You need to know where Microsoft is hiding your Outlook data on your system!

To demystify these hidden file please take a look at the simple 1 by 1 steps below.

First Locate the Outlook or Outlook Express files

1. You want to make sure, that hidden folders are visible
2. Open “My Computer" from the desktop
3. Go to the menu and choose - [Folder options]
4. Activate the tab [View]
5. Scroll down to find the radio button “Hidden files and folders”
6. Check the radio button “Show All Files and Folders”
7. Confirm with [OK]
8. Double click on the local drive “C:”
9. Double click on the directory “Documents and Settings”
10. Double click on the subdirectory “YOUR NAME”
11. Double click on the subdirectory “Local Settings”
12. Double click on the subdirectory “Application Data”

13. Double click on the subdirectory “Microsoft”
14. Double click on the subdirectory “Outlook”
15. Here you find all the files with the extension .PST – these are your Outlook files

13. Double click on the subdirectory “Identities”
14. Double click on the subdirectory with the weird numbers i.e.“{688AD635-E0FB-436A-9E6F-A76395311365}”
15. Here you find all the files with the extension .DB – these are your Express files
