How to get more done in less time?!

1. Holidays
Sitting in an internet café in the south of France I'm thinking, have I prepared everything for a relaxed holiday. And while I was going throuhg my own personal list, I thought this might be interesting for you as well.
- Set up an Autoresponder for all your email accounts.
It's a matter of professionalism and curtesy to inform your clients and prospects that you can't get respond to their emails immediately.
To set up the out-of-office or autoresponder please contact your email-host. That's where you created your email-accounts in the first place.
- Check the quota for your main email account and make sure it's at least 20MB
You want to avoid a automatic response going back to your correspondence saying "inbox out of quota"...
To check and change the quota please again contact your email-host.
- Save your data - see also the online-backup further down.
This is vital, because you never know what might happen during your absence.
- Prepare the access to your emails through webmail
You need to have your login and password handy.
Your email-host can help you with the login and password and also show you the way to access your email account through webmail.
- Change the message on your mobile-phone
Again it's a matter of curesy to let the caller know you are away for some days. Ingrid, please enjoy your holidays like I just do in Europe and relax. Take the steps as described above and you are well prepared.

2. Online Back-up - secure your data
I wrote about Online Backup before and the response is always the same: Nobody wants to invest the time to start doing it, until one day the computer is gone (for one reason or another) and there is no way to get your data back.
Just think about it for a minute...what are the ultimate costs for you if you can't access your data any longer?
- Is it just a matter of hours, days or weeks to get the data back into your system?
- Is it that you loose some of your clients?
- Do you loose money, because your staff can't be as productive as they used to be?
- Or do you have to close your business and start something else from scretch?
No matter what your answer to this question is, the cheapest way is to save your most valuable data on a regular basis!
- This can be done on a CD (takes a lot of time and organisation, because a CD only holds up to 640 MB of data)
- You could use an external harddrive (that's okay, but most people forget to actually do it - and especially the Outlook-data are often missed)
- Or you can use an online-backup solution (our preferred method, because it is simple, fast and automated)
Therefore my tip for you is very simple, inexpensive and secure: sign up for the 4GB online-backup solution and get your precious data saved every day - automatically. That's as good as it gets.

If - like me - you have different signatures set up for different purposes you might want to change it from email to the other.
Simply make a right-click in the actual signature and select from the list shown. |
Please try these out - we know how powerful these simple tricks are, because they can save you valuable time - each day. Have fun with it - it's easy!
You might as well print these shortcuts and keep them close to your keyboard to learn one shortcut at a time. It is worth the effort.
